VENDOR INFORMATION

2026 Vendor Registration opens February 26th!

Are you interested in showing off your business products to over 14,000 mid-Missouri residents? We are looking for food vendors, craft vendors & businesses to host a booth at this year’s Boone County Fair!

  • Businesses can set up one day or all week and rental space start at $175. Businesses that register after July 5, 2026 will be assessed an additional fee of $25 for late entry.
  • Hours of operation are 5-10 pm on July 21-25, 2026.
  • Please see the application link below to fill out an application & reserve your spot! This year, spots are pre-selected by you as the vendor.  Reserve early to secure your space!  Spaces are not guaranteed until paid for online through application below.

VENDOR TERMS & CONDITIONS

  1. REGISTRATION – Registration is due July 5, 2026. Businesses that register after July 5, 2026 will be assessed an additional fee of $25 for late entry.
  2. LICENSING – You are required to submit for a license with the City of Columbia. Temporary licenses are available HERE: https://www.como.gov/finance/business-licenses/temporary-business-license/.
  3. INSPECTION – All Food vendors must be in place by Tuesday (7/21/26) afternoon for inspection by the Health Department. If you are not in place at the designated time, you will not be allowed to sell food products at the fair and you will not receive a refund of your fee. 
  4. ACCEPTANCE – This application will be accepted upon approval by the fair board.
  5. ADMISSION – Two exhibitor passes will accompany each vendor space. These exhibitor passes will be digital and will be emailed from the fair approximately one week prior to the fair.  Additional exhibitor passes may be purchased for $30 each.
  6. APPEARANCE OF PERSONNEL – Vendors are solely responsible for the conduct and personal appearance of all personnel in his/her employ. Such employees shall be neatly dressed, orderly and polite. The use or possession of any controlled substance, obscene of discourteous language toward or within hearing range of the public, will be sufficient grounds for termination and removal of booth.
  7. BOOTH APPEARANCE – Vendor is responsible for maintenance of assigned space. Space must be cleaned and debris free prior to the official opening time of the fair each day. All boxes and storage must be kept from public view.
  8. BOOTH FEES – Application and booth fees are due with application with a deadline of July 5th. We have limited booth space so get your application in EARLY. Payment will secure your location.  
  9. BOOTH SIZE – Tents over 399 square feet will need to be inspected by the City of Columbia and the Vendor will be charged directly for this inspection.
  10. CANCELLATION/FAILURE TO SHOW – Vendors who cancel their application before July 5th will receive a full refund. NO REFUNDS will be given to any cancellations/No Shows after July 5, 2026.
  11. COPYRIGHT/LICENSED MERCHANDISE – Documentation must be provided with all copyrighted or licensed merchandise to support the right to sell such items.
  12. ELECTRONIC OR GAS CARTS/MOPEDS/SCOOTERS – All carts and mopeds are prohibited on the fairgrounds. These vehicles are considered safety hazards. Skateboards and roller skates/blades are all prohibited from the fairgrounds.
  13. ELECTRICITY HOOKUPS – Under no circumstances are electrical hookups guaranteed to be available to any vendors. Generators can be brought by vendors to supply the power they may need.
  14. EXCLUSIVITY – No vendor is guaranteed exclusivity; written, implied or verbally. Refunds will not be issued based on lack of exclusivity.
  15. HOURS OF OPERATION -Daily 5pm-10pm The 2026 Fair Dates are July 21 – 25, 2026.
  16. INCLEMENT WEATHER – All vendors are expected to take precautions to protect their merchandise from sun, wind, and general inclement weather. The fair is not responsible for damage due to weather or events out of management’s control. There will be no refunds due to weather or cancellation of any events/fair closure due to weather. 
  17. INSURANCE REQUIREMENTS – All food vendors will provide a certificate of insurance, ten days prior to the event in the amount of $2,000,000 naming BOONE COUNTY FAIR INC. as an additional insured. You may request a rider policy from the Boone County Fair for an additional fee. 
  18. PARKING – NO VEHICLES will be allowed in the vendor area until the fair closes for the evening. All vehicles must be removed from the vendor setup area by 4 pm. 
  19. PRODUCT SALES/RESTRICTIONS – Only the products listed on the contract may be sold or displayed. Misrepresentation of product or business on the application will result in contract cancellation without a refund.
  20. PROHIBITED ITEMS – The follow items may not be sold, displayed or given away on the fairgrounds: – Items referring to drug use, violence, pornography, hatred, gangs and/or items of a discriminatory nature – Stun guns, switchblades, brass knuckles, high powered water guns, fireworks, or knives.   In addition, any food/beverage that is sold by the carnival is also prohibited due to our exclusivity agreement (cotton candy, fresh squeezed lemonade, funnel cakes, corn dogs). If you sell other products, you can set those up.  If you are unsure of an item, please check with fair management.
  21. RETURNED CHECKS – An administrative fee of $40.00 will be charged on all returned checks.
  22. SET UP/ TEAR DOWN – Set up should be complete by 4pm daily. All debris and equipment must be removed from the grounds by noon Sunday, July 20th. Your booth may remain set up for the full week of the fair or just for select days.
  23. SIGNAGE – All signs must be of a professional nature (pricing, etc.).
  24. STAFFING/BOOTH PERSONNEL – Your booth should never be unattended. Please always have the proper staff in place during fair operation hours.
  25. SUBLEASING/SHARING BOOTH – Subleasing of booth will not be allowed under any circumstances. Booth sharing will not be allowed without prior consent of fair management.
  26. TAXES – Vendors engaging in direct sales shall be responsible for submission of sales tax. All vendor information from the fair will be submitted to the Department of Revenue upon request.
  27. TRASH – The vendor is responsible for keeping their area trash free. Do not pile trash next to the trash cans.
